Registration Fees & Guidelines
Unit Allocations & Pricing Structure:
- Midshipman Registration Rate: $160 per student (Maximum allocation of 4 MIDN per visiting unit)
- Staff Registration Rate: $190 per staff member (Maximum allocation of 2 staff members per visiting unit)
Operational Parameters (Archived Policy):
Visiting units were required to designate a single Registration POC uniform across all individual attendees to maintain clean administrative tracking. Invoices were compiled and dispatched automatically matching maximum target capacity benchmarks or triggered precisely three business days following the most recent submission from that detachment. If a unit’s tier threshold crossed max field capacity limits, remaining allocations were deferred seamlessly to operational waitlist tracking.

Lodging & Room Assignment Rules
The NLW team has reserved discounted operational room blocks at vetted local hotels positioned within short walking distance of all conference activities. Please wait to finalize individual reservations until you receive explicit room layout details. Specific configurations and individual room assignments will be organized and pushed out via automated emails following the close of the registration processing window.
Please note that lodging operational costs are strictly separate from the core conference registration fee and must be paid by individual visiting detachments or attendees. To systematically reduce total logistical costs and maximize room allocation efficiency across the field, the NLW team preserves the right to split room bookings by pairing midshipmen from different visiting regional units together.
Transportation & Parking Assets
For Guests Flying In: Complementary shuttle transit to and from the South Bend International Airport is explicitly handled by Notre Dame NROTC active-duty assets utilizing standard government utility vans. Staff details will intercept arrivals directly at the terminal and transfer them seamlessly to assigned local lodging blocks. Return coordination to the airport terminal is likewise provided on Sunday morning. Shuttles from hotels directly to event check-in sites are not provided.
For Guests Driving: Units operating over-the-road vehicles are requested to finalize standard check-in milestones at their designated local hotels before arriving at the event check-in terminal (schedule and timing permitting). Complimentary vehicle placement is designated inside the Walsh Architecture Lot via individual physical parking permits distributed by staff lines during standard initial check-in.
Inter-Hotel/Venue Movement: Active shuttle networks are not running between local hotels and daily presentation areas. However, regular organized group walkovers will step off from lobby centers, systematically guided and supervised by active NLW midshipman staff lines.
★ Upon arrival on campus, all visiting guests, staff, and midshipmen must report immediately to the main operational center at Carey Auditorium, located on the 1st floor of the Hesburgh Library.
